Powers SD Office Manager

Position Type: Full-Time, Classified

FLSA Status: Non-Exempt

Reports To: Superintendent

Work Schedule: Full-Time, Year-Round (as assigned)

Start Date: July 1, 2026

Compensation: $25.00/hour


Position Summary

The Office Manager provides high-level administrative and operational support for Powers School District and serves as a central point of coordination for student information systems, reporting, athletics administration, transportation records, purchasing, and daily office operations. This position requires advanced technology skills, exceptional attention to detail, sound professional judgment, and strict adherence to confidentiality requirements.

The Office Manager works independently in a small-district environment and regularly handles sensitive student and district information.

Essential Duties and Responsibilities

Student Information Systems & Records

    Manage and maintain the Student Information System (Synergy), including:

    Student registration and enrollment

    Class scheduling (Grades 9–12)

    SSID management

    Gradebooks and report cards (K–12)

    Transcript maintenance and updates

 

    Prepare, certify, upload, and transmit transcripts to colleges, universities, and scholarship programs

    Verify graduation requirements and process diplomas

    Confirm transcripts for Oregon scholarship programs

 

 State and District Reporting

    Prepare and submit required reports, including:

    ADM

    Discipline data

    Seclusion and restraint

    9th-Grade On-Track data

 

 

    Maintain accurate documentation to ensure compliance with state and district requirements

 

 Transportation Coordination

    Maintain records for Type 20 drivers

    Maintain internal controls related to transportation

    Schedule and coordinate all student trips

    Arrange transportation-related in-service and meal logistics

    Complete required transportation reporting

 

 Substitute Coordination

    Coordinate substitute coverage

    Maintain absence records and documentation

 

 Purchasing & Inventory

    Manage ordering of office supplies and academic/student awards

    Support internal controls related to purchasing and inventory

 

 Internal Controls & Student Accounts

    Maintain internal controls related to student body accounts

    Process student fees and damage charges in coordination with the Business Manager and established district procedures

Facilities & Safety Support

    Manage district keys and access control

    Oversee bell systems and alarms

    Support inclement weather preparations (late start logistics)

    Assist with hazardous materials reporting

    Attend safety committee meetings and prepare official meeting notes

 

 

Events & General Office Operations

    Coordinate Junior/Senior Banquet in collaboration with staff

    Provide front office support as needed, including communication with students, families, staff, and community members

    Perform other related duties as assigned by the Superintendent

Required Knowledge, Skills, and Abilities

    Advanced proficiency with Google Workspace (Docs, Sheets, Forms, Drive, Calendar)

    Strong working knowledge of Microsoft Office Suite

    High level of overall computer literacy, including digital file management and data systems

    Experience using or adapting to AI-supported tools to improve efficiency and organization (preferred)

    Exceptional spelling, grammar, and written communication skills

    Demonstrated ability to handle highly confidential information with discretion and professionalism

    Strong organizational skills and attention to detail

    Ability to manage multiple responsibilities independently and meet deadlines

    Strong interpersonal and problem-solving skills

Minimum Qualifications

    High school diploma or equivalent required

    Postsecondary coursework or degree preferred

    Prior experience in school district administration or a comparable complex office environment preferred

    Experience working with student information systems strongly preferred

Working Conditions

    Office-based position with frequent interaction with students, staff, families, and the public

    Periodic evening or event-based work may be required

    Position requires sustained attention to detail and the ability to manage confidential information
